The Charity Foundation “East SOS” has been uniting those committed to Ukraine’s future since 2014. With the onset of russia’s full-scale invasion, we have significantly expanded our efforts to assist and protect as many victims of russian aggression as possible. Our core values are equality, tolerance, and humanity – reflected both in our work and in our team culture.

We operate across government-controlled areas, providing evacuation and accommodation services, renovating shelters and IDP centers, documenting possible war crimes, implementing educational programs, delivering humanitarian aid, conducting monitoring visits, advocating for systemic changes, and offering legal and psychological support. Our regional psychosocial and legal support teams are active in Kharkiv, Vinnytsia, Zaporizhzhia, Dnipro, and Mykolaiv.

We are looking for an Assistant Coordinator (War Crimes Documentation): 

  • Kyiv (on-site, hybrid arrangement available);
  • occasional trips to frontline regions;
  • full-time;
  • remuneration discussed during the interview.

Key responsibilities:

  • providing organizational and administrative support to the War Crimes Documentation Program;
  • maintaining the team’s task plan, monitoring deadlines and implementation status, and preparing reminders;
  • managing the program’s calendar, including team visit schedules, publication timelines, and other key events;
  • collecting information and documentation required for travel arrangements and reimbursements;
  • maintaining, organizing, and monitoring digital archives, folders, templates, and internal documentation;
  • supporting the Program Coordinator in preparing documents, updating guidelines, and implementing new processes;
  • providing administrative support during the organization of events, presentations, forums, and work meetings;
  • supporting communication with partners and maintaining relevant spreadsheets and material submission calendars;
  • reviewing transcriptions for compliance with internal formatting requirements;
  • managing the program’s document workflow directly;
  • coordinating cooperation with other programs and departments across the Foundation;
  • supporting the team’s internal communication;
  • performing other organizational, analytical, and coordination tasks as assigned by the Program Coordinator.

What we expect:

  • experience in administrative, coordination, or assistant roles;
  • strong attention to detail and the ability to work with large volumes of information;
  • proficiency in Google Workspace and/or Microsoft Office, particularly spreadsheets;
  • experience in data management and reporting;
  • responsibility, strong organizational skills, and the ability to meet deadlines;
  • effective communication skills and the ability to support team workflows.
